A hotel booking checklist for Bali

A short preparation routine can prevent common mistakes when reserving a room online.

Booking a room is more than selecting two dates and clicking a button. Checking the details at the right time can save unnecessary back-and-forth, especially when you are travelling with family, attending an event or arriving on a late flight. Use this checklist whether you book directly with a hotel or through an authorised booking provider.

Step 1: Confirm your travel dates and time zone

Start by writing down the check-in and check-out dates in the local destination time zone. An overnight flight may arrive on the calendar day after departure. If you expect to reach the hotel very early or late, contact the hotel about its arrival policy rather than assuming the room will be ready at any hour. Do not forget to account for the number of nights rather than only the number of dates shown on a calendar.

Step 2: Enter your full guest count

Include adults and children according to the booking provider's prompts. If ages are requested, supply accurate ages: policies for children and extra bedding can be different from adult occupancy rules. For connecting rooms, additional beds or accessibility arrangements, seek direct written confirmation before treating a special request as guaranteed.

Step 3: Compare the real total cost

Review the final total, not just the lowest headline rate. Look for local taxes, service fees, breakfast inclusions, extra-guest charges and other mandatory costs identified at checkout. Note whether payment is required immediately, upon arrival or in instalments. The exact rate terms presented by the booking provider take precedence over general descriptions elsewhere on the site.

Step 4: Read cancellation and change conditions

Before confirming, check the last date for a free cancellation if one is offered, the time zone associated with any deadline, and the fees that may apply to a change or no-show. Promotional, discounted and prepaid bookings may have different conditions from flexible rates. If your flight plans are still uncertain, consider whether the extra flexibility is worth the difference in cost.

Step 5: Use a trustworthy payment path

Begin from the hotel's official website or another provider you know is authorised. Check the domain carefully before entering payment information and look for a secure connection. A padlock alone does not prove that a business is legitimate, so also confirm the property name, contact details, booking summary and any recipient of payment. Do not email card details or send them through an unexpected message.

Step 6: Save your reservation details

After completing the booking, keep the confirmation page or email, reservation reference, dates, guest names, room category, the amount paid and any balance due. Read the stated check-in requirements; some properties need an identification document at reception, but guests should avoid sending sensitive document images to unverified contacts in advance. If a confirmation does not arrive, contact the booking provider or hotel using a known official contact rather than paying twice immediately.

Step 7: Consider the journey from airport to hotel

Arrange transport based on the actual number of passengers and suitcases. Confirm your pickup location, expected meeting instructions and the hotel address. Traffic in southern Bali varies; leave extra room around flights, conferences and tours. If you are arriving very late, tell the hotel so your arrival can be planned according to its policies.
